TechnOrganizing Principles

These TechnOrganizing principles have helped hundreds of artists, entrepreneurs, community-based organizations, and enterprises make the Internet work for them.

The Internet, Technology, Agents, contines to influenced how we live and work. In a fast-paced and hyper-connected world, we have constantly negotiated whether digital tools will interrupt or improve us.

Developing skills to manage our relationship with these tools became critical. Whether through information overload, incompatible systems, or common mistakes that cost time and money, many of us experienced mishaps that left us overwhelmed, disappointed, or afraid.

These principles below have helped people avoid those mishaps or recover from their negative impact. Below is a summary of the key principles gathered over a decade of learning how people successfully improved their relationships with digital tools.

1. Start with Help

“A single conversation with a wise man is better than ten years of study.”

Help is available on most of the online and mobile tools we all use. Don’t assume figuring it out alone is best. Move faster and save frustration by referring to help online, in applications, or in user manuals first. Find the source of help that works best for you when you’re unsure.

2. Personalize

“You relate to what you help create.”

The best way to establish both power and ownership within the tools and applications we all use is to personalize them. These tools were created for you, but can also be created by you. Add your name, your favorite color, or a picture. Also, it’s not too much to email developers and recommend features.

3. Gain a Top Line View & Study Your Work

“An unexamined life is not worth living.”

To be more productive you must have an accurate assessment of where you are in relationship to where you want to be. By maintaining dashboards, advanced filters, and automated labels, you can quickly assess the work ahead. Also, establishing indicators and recognizing patterns empowers us to make better choices. How many emails do you receive on average? How many of these do you respond to? What does that mean? What needs to change? Is your work style working for you? How you work can always be improved.

4. Organize by Search

“Name it how you’ll need it.”

Instead of putting everything in the proper place, use keywords, key people, and other contextual information to find information whenever you need it. You can spend less time organizing your email, tasks, and documents, by using advanced search operators as organizing tools and resisting the urge to keep everything in the “right place.”

5. Take Action & Take Breaks!

“In reality, our bodies are designed to pulse and pause...”

When opportunities present themselves, take action. Small wins can help you build momentum to do larger tasks. If it takes under 2 minutes to delegate, respond, or do, do it now. However, we are not machines meant to do repetitive tasks over a long period. We are human beings, built to expend energy and then renew it.

6. Learn & Use Shortcuts

“There are shortcuts in life. Use them.”

You can get more done if you can move faster in the apps, online tools, and devices you use. You can find and learn shortcut keys. Saving absolute links or bookmarks that take you quickly to very specific pages in your application will save you time. In addition, knowing shortcuts for the top 10 actions you take every day will increase your speed.

The term was first used during a public workshop for young professionals in Anchorage, Alaska, and described a broad set of best practices and principles anyone could use to improve their relationship with both new technology and the Internet.

Tech Stress-to-Flow Ratio

The concept of the stress-to-flow ratio, drawing upon the insights of Steven Kotler and Mihaly Csikszentmihalyi, offers a nuanced understanding of the interplay between stress and flow in the realm of performance, particularly in the context of technological impact on individuals.

Kotler, renowned for his exploration of flow states, asserts these states as peak experiences of consciousness, characterized by optimal performance and well-being. Csikszentmihalyi, who introduced the concept of flow, highlights its significance as moments where one feels their best and performs their best.

Building on their foundational work, alongside contributions from Rolando Brown and supported by analytical enhancements from ChatGPT, this framework evaluates technology through the lens of its potential to either induce stress or facilitate flow.

A lower SFR suggests technology is more adept at facilitating flow and enhancing user performance and satisfaction. A higher SFR indicates potential stress enhancement, which can impede flow and negatively affect user experience.

Application Steps

  • Assessing Stress Inducers: Evaluate technology for information processing demands, multitasking requirements, interface complexity, and interruption rates.
  • Evaluating Flow Facilitators: Assess how well the technology engages users, matches challenges to skills, provides feedback, and focuses attention.
  • Scoring: Assign a conceptual score based on the potential stress-to-flow ratio, with 1 being the best possible score and 5 indicating the highest potential stress and lowest contribution to flow.
  • Surveys: Survey human experiences using stress inducers and flow facilitators as controls and interventions, then compare findings against conceptual scores.

Interpretation

Calculate the SFR using identified factors, then analyze the ratio to gauge technology’s impact on fostering flow or inducing stress. Ratios near zero denote technology that supports flow, while higher ratios signal a need for design adjustments to minimize stress factors and enhance flow-promoting features.

Intervention

  • Findings are reported back to technology developers with the goal of reducing stress inducers within the product.

The Flow Facilitation Practice

A repeatable personal operating system for accessing flow states more consistently. Built on the science from Flow Research Collective and adapted for operators, coaches, and leaders under pressure.

Flow Along

Start by observing your own natural flow patterns before trying to engineer them. Notice when focus comes easiest, what conditions surround it, and what breaks it. Your baseline is your data.

Personalize

You decide to study; you begin. The trigger is a deliberate commitment, not a mood. Pick one flow facilitator you can control today and make it a condition of starting work, not a reward at the end.

Make Flow a Daily Practice

Flow is not an event; it is a skill built through repetition. Anchor your deepest work to the same time, same context, same pre-work ritual. Consistency lowers the activation energy to enter flow.

Organize by Month

Structure your weeks around a monthly arc. The first week is orientation and planning. The middle weeks are for execution. The final days are for closure, reflection, and preparation. Rhythm is infrastructure.

Take Action & Take Breaks

Recovery is not a pause from performance; it is part of the system. Ultradian rhythms suggest 90-minute work cycles followed by intentional rest. Breaks done deliberately accelerate the next flow state.

Use agentic tools as thinking partners, not replacements. These are shortcuts to bridge entry into complex domains, compress research time, and offload low-cognition tasks so you protect your peak hours for creative and strategic work.

IAM-Readiness

Here we bring attention to three forms of intelligence operating simultaneously in many organizations and operator's life. Conflating them is costly. Understanding each, and how they relate, is the foundation of IAM-Readiness.

Ancient Intelligence (I)

Embodied & Adaptive

Accumulated through millions of years of human evolution and lived tradition. The source of ethics, judgment, creativity, and intuition. Examples are instinct, human body language, and muscle memory.

Artificial Intelligence (AI)

Computational & Pattern-Based

Pattern recognition across data, tokens, and inference engines. An accelerant for execution, research, and synthesis. Examples are large language models, recommenders, and computer vision AI systems.

Ambient Intelligence (AmI)

Environmental & Adaptive

Homes, roads, and office environments embedded with sensors and adaptive systems that recognize human presence and respond accordingly. Examples are robots, smart homes, and autonomous vehicles.

IAM

IAM-Readiness is the process of keeping your ancient embodied intelligence strong while integrating artificial intelligence deliberately and interacting with ambient intelligence intentionally, with agency so neither degrades the other.

Spiritual Intelligence

I typically share this work from a secular perspective, due to honoring that there are many ways of knowing and being.

For those open to a sacred perspective, I hold that Spiritual Intelligence is real, accessible, aware, and active in bodies and systems. There is a long tradition of engaging that intelligence respectfully, and those of us connected to those streams and sources will need to remain deliberate in how we interpret and respond to what is artificial and ambient.

I have a set of personal frameworks that come from the wisdom traditions I belong to. I'd be happy to share these with you by request, and learn from what frameworks you use to keep connected to that particular source.

What is AIP?

An Artificial Intelligence Platform (AIP) is an enterprise infrastructure layer that integrates AI models, data pipelines, and decision systems into a unified operating environment. Organizations like Palantir, Microsoft, Salesforce, and Google have built AIP-class platforms that allow institutions, governments, hospitals, financial systems, and corporations, to make high-stakes decisions at scale using AI.

AIPs are not only growing, they are becoming the standard operating system for interactions between institutions and individuals. When you apply for a loan, navigate a government service, receive a healthcare recommendation, or interact with an employer, an AIP is increasingly in the room making or shaping that decision. Most people will engage with these platforms without knowing it, and without the awareness or agency to do so on their own terms.

IAM-Readiness is the preparation for that future. Some will resist, some will embrace, and others will engage in beautiful struggle. In every path, we can dignify conflict, practice cooperation, choose collaboration, and retain agency. We can prepare to engage it as whole, aware, and intentional people.
